Getting Started

Use this section to understand the main areas of SafeWorks and the fastest daily path through the workspace.

Workspace Setup and Roles

Use workspace settings to keep your organization details, people, modules, and notifications current.

Useful for: Administrators and managers

  • Workspace settings cover organization details, locations, team invitations, roles, modules, and notification preferences.
  • Current role names are admin, manager, investigator, executive, and submitter.
  • Keep locations active only when they should receive current reporting and workflow activity.
  • Admin: workspace setup, configuration, and broader control of workspace settings.
  • Manager: operational follow-up, location oversight, and review of active work.
  • Investigator: investigation work and assigned follow-up tasks.
  • Executive: high-level visibility into dashboards and reporting.
  • Submitter: frontline reporting for hazards and related intake.

Hazards and Frontline Reporting

Use Hazards for reported hazards, incidents, and near misses, including location-specific intake links and QR codes.

Useful for: Frontline users, managers, and administrators

  • Frontline users can use QR codes or intake links to send a report from the right location.
  • Managers and administrators use authenticated SafeWorks access for controlled functions and follow-up.
  • Not every hazard creates an investigation.
  • Place QR codes where workers or visitors can easily access them.
  • Make sure each code matches the intended location.
  • Scan and test the code after setup.

Inspections

Inspections are a separate intake stream from hazards and should use the appropriate enabled inspection template.

Useful for: Managers, investigators, and administrators

  • Use the inspection template that matches the work you want to complete.
  • Issues found during an inspection may generate corrective-action follow-up.
  • Not every inspection creates corrective actions.

Investigations and Corrective Actions

Use investigations for deeper follow-up and corrective actions for accountable action tracking.

Investigation lifecycle: Open -> In progress -> Under review -> Closed. Corrective-action lifecycle: Open -> Assigned -> In progress -> Submitted for review -> Verified -> Closed.

  • Investigations track assignment, due date, findings, submission for review, manager or admin review, request changes, approval or closure, and reopening when appropriate.
  • Corrective actions track the assignee, due date, progress or evidence, review, verification, closure, and reopening when needed.

Reporting and Leadership

Dashboard shows current operational work, while Reporting provides open and closed history.

Useful for: Managers and executives

  • Management Reporting adds summaries, indicators, trends, saved views, and PDF or export capability.
  • Use Dashboard for the live work queue and Reporting for history.

Automation and Operating Routine

Automation supports recurring inspections, notifications, and a manager digest where configured.

Useful for: Managers and administrators

  • Use recurring inspections for repeating operational checks.
  • Notifications help surface work that needs attention.
  • The manager digest is available where it has been configured.

  • Contact support from an authorized customer contact.
  • Do not send passwords, private evidence, or unnecessary personal information by email.
  • Billing issues may also use Manage billing where available.
